Program Alerts: What are they and how can they be setup?

In this article, we will explain what alerts are, how they can be used and how you can set them up. 




What are program alerts?


Alerts are automatic e-mail messages that you can send to one or multiple email addresses in response to an event/action in your programs, such as a survey being completed or a participant answering a question in a certain way. Alerts are frequently used by clinicians and researchers to notify their teams about events that unfold in the program that need attention, such as a patient with a high fever or an important questionnaire that's being completed. 


Alerts are set on each program, so each program can have its own set of alerts. 


How can I create my alert?


In order to create and manage alerts, you need to make sure you have Edit Program rights on the respective programs. Please read the articles about Rules & Responsibilities (Roles & Responsibilities) in case you want more information about program rights. 


Step 1: Go to the alerts page of your program  


Once you have Edit Program rights, you can click on the Edit Programs tab and then click on the Alerts icon as shown underneath, in order to start managing your alerts.



Step 2: Setup your alert


Now that you're on the Program Alerts page, you can start setting up your alerts. Underneath is a description of all the fields 


  • Name: This is the name of your alert.
  • SQL. In order to trigger this alert, a logic condition has to be met. Every time this condition becomes true, an e-mail will be sent. For more information on writing logic see this article - How to use logic within WeGuide?
  • Recipients. Enter all the email addresses to whom this e-mail should be sent in case it's triggered. You can add multiple email addresses by a comma (,) separating them. 
  • Subject. This will be the subject of the email alert. So if people receive the email, this is what will show up in their inbox
  • Body. This is the body of the email alert. So if a person decides to open the email, this is what they will read.
